Co-Host Calendar Syncing

Understand how CalendarPA combines availability when multiple hosts are involved.

How Combined Availability Works

The Intersection Rule

A time slot is only available if ALL hosts are free.

Example with 2 hosts:

• Host A: Free 9am-12pm, 2pm-5pm

• Host B: Free 10am-3pm

• Result: 10am-12pm and 2pm-3pm available

Buffer Times

Each host's buffer times are respected. If Host A needs 15 minutes before meetings, that's blocked.

Calendar Conflicts

Any event marked "Busy" on any host's calendar blocks that time for everyone.

Requirements for Co-Hosts

Must Have

• CalendarPA account (free or paid)

• At least one connected calendar

• Accepted co-host invitation

Recommended

• Primary calendar connected

• All relevant calendars synced

• Updated availability settings

Troubleshooting

No Availability Showing

• Check all hosts have connected calendars

• Verify hosts' availability settings overlap

• Look for all-day events blocking time

Wrong Times Showing

• Ensure timezones are correct

• Check for "Free" events that should be "Busy"

• Verify buffer time settings

Host Not Receiving Invites

• Confirm their calendar connection is active

• Check their notification settings

• Verify email address is correct
