Group Events for Coaches and Teachers

How to set up and manage group classes, workshops, and seminars

CalendarPA's group events feature is designed for coaches, teachers, fitness instructors, and anyone hosting seminars, workshops, or classes where multiple people attend the same session.

What Are Group Events?

Group events (also called group bookings) allow multiple people to book the same time slot. Instead of one-on-one meetings, you can:

  • Host fitness classes with 20 participants

  • Run coaching workshops with 10 attendees

  • Teach seminars with capacity limits

  • Offer webinars with registration

Setting Up a Group Event

  1. Go to Booking Types and create a new booking type

  2. In Booking Type settings, enable Group Event

  3. Configure your group settings:

- Maximum capacity: How many people can attend

- Minimum attendees (optional): recorded on the booking type; sessions are not cancelled automatically

- Attendee visibility: Public (attendees see each other) or Private

  1. Set up pricing (see pricing options below)

  2. Configure your schedule (one-time, recurring, or specific dates)

Capacity Management

Maximum Capacity

Set the maximum number of attendees:

  • Fitness class: 20 spots

  • Workshop: 15 participants

  • Webinar: 100 registrants

Once capacity is reached, the time slot is full.

Waitlist

Enable waitlists to:

  • Capture demand when events are full

  • Automatically notify people if spots open up

  • Gauge interest for future sessions

Minimum Attendees

You can record a minimum group size on the booking type. CalendarPA does not cancel a session when fewer people register:

  • Check registrations before the session starts

  • If the group is too small, cancel the session from its page in your bookings; cancelling refunds paid registrations

Pricing Options

Choose one pricing strategy per booking type:

Fixed Pricing

Same price per person regardless of group size:

  • $50 per participant

  • Simple and transparent

  • Most common option

Tiered Pricing

Each seat is priced by its place in line. Early seats pay the first tier's price, later seats the next tier's. For example:

  • First 5 spots: $60 each

  • Next 5 spots: $80 each

  • Every spot after that: $100 each

Once seats pass your last tier, the last tier's price holds. A seat keeps the price it was sold at, so early registrants are never charged more later.

Rewards people who register early.

Early Bird Pricing

Lower prices for early registrations:

  • Early bird (7+ days before): $75

  • Regular price: $100

Rewards early commitment and improves cash flow.

Registration Deadlines

Set a registration deadline:

  • Cut off registration 24 hours before event

  • Gives you time to prepare materials

  • Prevents last-minute no-shows

Recurring Group Sessions

Perfect for ongoing classes:

  • Weekly yoga classes

  • Monthly seminars

  • Quarterly workshops

Set up once, runs automatically on schedule.

Best Practices

  1. Set realistic capacity - Don't overbook beyond what you can deliver

  2. Check registrations ahead of time - Sessions are never cancelled automatically, so decide early whether a small group still runs

  3. Enable waitlists - Capture demand and fill cancelled spots

  4. Send reminders - Use workflows for automatic SMS/email reminders

  5. Collect key info - Add custom questions (experience level, goals, dietary needs)

  6. Test your setup - Book a test session before going live

Communicating with Attendees

  • Confirmation emails - Send immediately upon booking

  • Reminder sequence - 7 days, 24 hours, and 1 hour before

  • Group updates - Email all attendees with important changes

  • Post-event follow-up - Thank you message and feedback request

Use Workflows to automate all of these communications.

Pricing Note

Group events are available on Pro plans and above. Start with the 14-day free trial to test the feature.
