Connecting HubSpot CRM

Sync the people who book you, and their meetings, to your HubSpot CRM

CalendarPA writes the people who book you to HubSpot as contacts, and keeps each booking current as a meeting on their record. It's a one-way sync: HubSpot never affects your availability.

Prerequisites

  • CalendarPA Business plan or higher

  • A HubSpot account (a free HubSpot account works)

Connect HubSpot

  1. In CalendarPA, go to Settings → Integrations.

  2. On the HubSpot card, click Connect HubSpot.

  3. Sign in to HubSpot, choose the account to connect, and approve the permissions.

  4. You're brought back to Set up HubSpot. A few choices, then you're done.

Choices during setup

When a booking's details differ from what's already in HubSpot, choose one of three rules:

  • Only fill in fields that are blank in HubSpot — never overwrite (the default). An existing contact keeps the name and phone number it already has.

  • Overwrite name and phone only — never anything else.

  • Always overwrite with the latest booking's details.

Also add extra guests as contacts. Guests an invitee adds to a booking are created as HubSpot contacts and attached to the same meeting.

Optional extras

  • Send booking answers to HubSpot contact fields. Map the questions on your booking form to HubSpot contact properties.

  • Payments as deals. Turn on Create deals for payments to create a HubSpot deal for each paid booking, with its amount and currency. A series paid at once is one deal, and a refunded booking's deal moves to the stage you choose. Turning it on also sends your paid bookings from the last 90 days.

  • Bookings made before you connected aren't in HubSpot yet. Use Send them to HubSpot on the HubSpot card.

If CalendarPA says deals access is missing, go to HubSpot → Settings → Integrations → Connected Apps → Approved apps → CalendarPA → Manage access → Data Permissions, allow the optional deals permission, then disconnect and reconnect HubSpot in CalendarPA.

If something stops syncing

  • "Some of your bookings from the last 7 days did not sync": open a booking to see why.

  • "Your HubSpot connection stopped working": click Reconnect HubSpot.

  • Paused — Business plan required: your plan no longer includes CRM integrations. Upgrade to Business to resume, or disconnect.

Disconnecting

Go to Settings → Integrations and click Disconnect on the HubSpot card. New bookings stop syncing. Contacts and meetings already in HubSpot stay there; nothing is deleted.
