Email Intake: Turn Forwarded Emails into Calendar Events and Tasks

Forward a school email and AdaPA adds its dates to your calendar and Todoist

Forward a school email or announcement to AdaPA, and she finds the dates and deadlines in it. She adds the ones she's sure about and asks you about the rest.

Prerequisites

  • CalendarPA Pro plan or higher

  • Todoist is optional. Without it, deadlines go on your calendar alongside events, so nothing is lost; they just live in one place instead of two.

Set it up

  1. Go to Settings → Integrations and find the Email Intake card.

  2. Click Set up your first topic. A topic tells AdaPA how to read a kind of email, such as your child's school newsletter.

  3. Fill in the topic and click Create topic. Add more topics any time with Add topic.

Each topic asks:

  • What will you forward? Describe the kind of email.

  • Events go on (optional): the calendars this topic's events are added to. With none picked, its events stay off your calendars.

  • Deadlines go to: your calendar, or a Todoist project if Todoist is connected.

If you connect Todoist first, CalendarPA walks you through the same choices in a short setup, which also lets you create a new calendar (for example, "School") and invite people, such as a co-parent, to a topic's events.

Forwarding

Copy AdaPA's address from the Email Intake card and forward emails to it. AdaPA finds the dates and deadlines, adds the ones she's sure about, and asks you about the rest.

The reminder digest

AdaPA can email you a simple digest of upcoming events and deadlines, every day, on weekdays, or weekly on Mondays, at the hour you choose. Anything due before the next digest gets its own heads-up, so nothing slips through. Set it to Off if you don't want it.

Removing a topic

Emails about a removed topic are still read; they just aren't filed under that topic any more.
