Managing Your Agency: Members, Seats and Billing

Invite and remove members, change your seat count, and handle invoices, failed payments and cancellation

Everything about running a network lives in the Agency section of your dashboard. This guide is for owners and admins.

Inviting members

  1. Open Agency in your dashboard and go to the Members tab

  2. Invite people by email

  3. They accept from the invitation email

Good to know:

  • An invitee does not need a CalendarPA account first. If they already have one, accepting attaches the account they have, and nothing is replaced.

  • Every accepted invite takes a seat. If there are no free seats, add seats on the Billing tab before inviting.

  • An invite that nobody accepts expires and cannot be revived. Send a fresh one from the Members tab.

  • A person can be an active member of one network at a time. Someone in another network has to leave it before they can accept.

Suspending or removing a member

  • Suspend stops the member's scheduling page taking new requests, but touches nothing they own.

  • Remove takes them out of the network and frees their seat.

Adding and removing seats

Change your seat count on the Billing tab.

  • Adding seats is charged straight away, prorated for the rest of the current period.

  • Removing seats takes effect immediately and does not produce a refund or credit. You stop paying for those seats from the next invoice.

  • If you try to drop below the number of seats currently filled, you are asked which members to release first.

Invoices and payment method

Invoices, the payment method and the next renewal are all in the payment portal, linked from the Billing tab. Every seat and add-on is charged to the owner. Members are never charged for anything and never see the network's invoices.

Need Net-30 invoicing, purchase orders or multi-year terms? Those are arranged through sales at any seat count.

If a payment fails

Nothing breaks the day a charge fails. The pressure lands on the owner first, and members are kept whole for about three weeks:

  1. The charge fails. The owner is emailed, and the network runs normally while the card is retried.

  2. Members are notified. Every member is emailed about the billing problem. Nothing has changed for them yet.

  3. Grace period. Member scheduling pages stay fully live and members keep every Business feature. The owner sees a banner on the dashboard.

  4. Suspended. The first stage that affects members: their scheduling pages stop accepting new requests, and their Business features stop.

  5. Cancelled. Member accounts revert to the free plan. Nobody loses any data.

Fix the card at any point and everything resumes. Member and network data are preserved at every stage.

Closing the network

Cancellation is on the Billing tab. Cancelling schedules the shutdown rather than doing it on the spot, and an undo option stays on the same tab until it runs. There is also a shut-down-now option that is immediate and cannot be undone. Active members are emailed, and their seats run to the end of the period you have already paid for.
