Connecting GoHighLevel / LeadConnector

Send the people who book you, and their appointments, to your GoHighLevel or LeadConnector CRM

CalendarPA adds the people who book you to your CRM as contacts, and keeps each booking there as an appointment. It's a one-way sync: nothing in your CRM changes your CalendarPA availability or your bookings.

This works with GoHighLevel and LeadConnector, including a white-labelled account your agency set up for you under another name.

Prerequisites

  • CalendarPA Business plan or higher

  • Access to a location (sub-account) in your CRM. If your agency manages your account, it may need to approve CalendarPA for your location.

Connect your CRM

  1. In CalendarPA, go to Settings → Integrations.

  2. On the GoHighLevel / LeadConnector card, click Connect your CRM.

  3. Sign in to your CRM, choose your location, and approve the permissions.

  4. You're brought back to Set up your CRM.

Always start from the Connect your CRM button in CalendarPA. An install started from inside your CRM's app marketplace can't be completed yet.

If your agency approved several locations, you'll choose the one that should receive your bookings first.

Choices during setup

  • Default calendar: where appointments go in your CRM.

  • Fallback assignee: who an appointment is assigned to when a host isn't matched to a user in your CRM.

  • Hosts: each host is matched to a user in your CRM by email address. You can choose someone else for any host.

  • Run CRM automations for synced appointments: on by default. Your CRM's workflows and reminders run when CalendarPA adds or changes an appointment.

  • Booking Types: every booking type is sent to your CRM. You can turn one off, or send it to a different calendar.

When you finish setup, your upcoming bookings are sent to your CRM straight away, without triggering its automations.

What stays in sync

  • New bookings become appointments, and the person who booked becomes a contact (an existing contact with the same email is used, and only blank name or phone details are filled in).

  • Reschedules move the same appointment. Cancellations and no-shows update its status, and it's marked completed after the meeting.

  • Every contact CalendarPA touches gets the calendarpa tag. Existing tags are never removed.

  • If someone removes the calendarpa tag from a contact by hand in your CRM, CalendarPA notices and lists that contact on the GoHighLevel / LeadConnector card in Settings → Integrations. It won't add the tag back on its own; click Re-add the tag if you want it back.

Changing a setting later applies to future syncs. Appointments already in your CRM don't move.

If something stops syncing

  • "bookings did not reach your CRM recently": open a booking to see why, and retry it.

  • "Your CRM connection stopped working": click Reconnect on the card. Your settings are kept when you reconnect the same location. If you choose a different location, or CalendarPA is installed for the whole agency again, your calendar, assignee, host and booking type choices are cleared and you'll go through setup once more.

  • If an appointment was deleted in your CRM, CalendarPA won't recreate it on its own. Open the booking and retry if you want it back.

Disconnecting

Go to Settings → Integrations and click Disconnect on the GoHighLevel / LeadConnector card. New bookings stop reaching your CRM. Contacts and appointments already there stay; nothing is deleted.
